1. Who We Are

EmpowerAg is a Ltd company run by Amy Hughes. We provide workshops, facilitation, mediation, speaking, and podcast services to farmers, farming families, and agricultural professionals across the UK.

EmpowerAg is registered with the Information Commissioner's Office (ICO) as required under UK GDPR.

2. What Personal Data We Collect

We only collect data that is necessary for running our business and providing our services.

Name and email address — collected via enquiry forms, newsletter sign-up, and direct email. Used to respond to enquiries and send updates you've asked for.

Phone number — collected via enquiry forms and direct contact. Used to follow up on workshop or service enquiries.

Business name and farm details — collected via enquiry forms and direct contact. Used to understand your situation and tailor our services.

Workshop registration details — collected via registration forms on Systeme.io. Used to confirm your place and send joining information.

Email engagement data — collected via Systeme.io. Used to understand which content is useful and to manage unsubscribes.

Website usage data — collected via Google Analytics and Google Tag Manager (anonymised, no personal identifiers). Used to understand how the site is used and improve it.

We do not collect sensitive personal data through our website. If sensitive information is shared as part of a facilitation or mediation engagement, it is handled under a separate confidentiality agreement.

3. Our Lawful Basis for Processing

Under UK GDPR, we must have a lawful reason to process your personal data.

Legitimate interests — when you make an enquiry or register interest in a workshop, we process your data to respond to you. This is in both your interest and ours, and we would expect you to reasonably anticipate this when you get in touch.

Consent — when you sign up to our email newsletter, we process your data on the basis of your consent. You can withdraw consent at any time by clicking Unsubscribe in any email, or by contacting us directly.

Contract — where you book a workshop, facilitation session, or other paid service, we process your data as necessary to fulfil that contract — including sending joining instructions, invoices, and follow-up materials.

4. How We Use Your Data

We use your data only for the purposes it was collected for:

  • To respond to enquiries about workshops, facilitation, mediation, speaking, or podcast services
  • To confirm workshop registrations and send joining information
  • To send our email newsletter and updates, where you have subscribed
  • To follow up after workshops or sessions where relevant
  • To improve our website and understand how visitors use it (via anonymised analytics)
  • To comply with legal obligations

We do not use your data for automated decision-making or profiling.

We do not sell, rent, or trade your personal data to any third party.

5. Third-Party Tools

We use the following platforms to manage enquiries, registrations, and email communications.

Systeme.io — used for enquiry forms, workshop registration, and email marketing. Processes name, email, phone number, and form responses. Based in the EU and GDPR-compliant.

Google Analytics / Google Tag Manager — used for website analytics. Processes anonymised usage data only — no personal identifiers. Based in the USA; Standard Contractual Clauses apply to ensure lawful data transfer.

These platforms act as data processors on our behalf. They process data only as instructed by us. We do not share your data with any other third parties.

6. Cookies

Our website uses cookies — small text files stored on your device — to help the site function and to understand how it is used.

Strictly necessary cookies — required for the site to work (for example, remembering your cookie preferences). These cannot be disabled.

Analytics cookies — we use Google Analytics to collect anonymised information about how visitors use our site. This data does not identify you personally. These cookies are only placed if you accept them via our cookie banner.

7. How Long We Keep Your Data

Enquiry and contact data — kept for 2 years from last contact, in case of follow-up or repeat booking.

Workshop registration details — kept for 3 years from the workshop date, for our records and in case of any disputes.

Email newsletter subscribers — kept until you unsubscribe. Removed immediately on request.

Financial and invoicing records — kept for 6 years, as required by HMRC.

Website analytics data — kept for 26 months (Google Analytics default). Anonymised and used only for site improvement.

When data is no longer needed, we delete it securely.

8. Your Rights Under UK GDPR

You have the following rights regarding your personal data. To exercise any of them, contact amy@empowerag.co.uk. We will respond within one month.

Right of access — request a copy of the personal data we hold about you.

Right to rectification — ask us to correct any inaccurate or incomplete data.

Right to erasure — ask us to delete your data where there is no legal reason to keep it.

Right to restrict processing — ask us to limit how we use your data in certain circumstances.

Right to data portability — request your data in a portable format.

Right to object — object to processing based on legitimate interests, including for marketing.

Right to withdraw consent — where we rely on consent (e.g. newsletter), withdraw it at any time without affecting anything that happened before.

Automated decisions — we do not use automated decision-making or profiling, so this right is not currently applicable.

9. Complaints

If you have a concern about how we handle your data, please contact us first — we would always prefer to sort things out directly.
